What is a Meeting Companion? Definition and examples
Also: AI meeting assistant, AI meeting notes, AI notetaker
In short
A Meeting Companion is an AI assistant that joins online meetings, records them and transcribes them live with speaker names. It captures decisions, open questions and next steps and makes them findable for the team and for AI agents.
Why it matters: Decisions from meetings no longer get lost; they become binding knowledge.

Why does Meeting Companion matter for your company?
The most important decisions are made in meetings and then vanish into notes nobody finds. Whoever was not there asks around. Whoever was there remembers differently.
A Meeting Companion joins meetings in Zoom, Microsoft Teams, Google Meet and Webex, automatically from the calendar if you like. It records, produces a live transcript with speaker names and captures who does what by when. Connected to a Company Brain, it shows in the next meeting what drifts from the decision.
Example: The leadership team's quarterly planning
In quarterly planning the leadership team agrees three priorities and postpones one project. In the past this sat in one person's minutes, sent out two days later.
With a Meeting Companion, decisions and tasks with owners are available right after the meeting. The postponed project is flagged in the shared memory, and in the next meeting the companion shows which tasks are still open.
3 common mistakes to avoid
Recording without capturing
Nobody reads a transcript on its own. The value lies in decisions, owners and dates, linked to the project.
Recording without consent
Everyone in the meeting must know it is being recorded. Clear rules on when the companion joins build trust.
Storing notes on an island
If notes stay inside the meeting tool, documents, tickets and AI agents never learn about the decision. They belong in the shared memory.
